About the Role:
As an HR & Office Coordinator, you will play a key role in supporting both people operations and the day‑to‑day running of the Malta office. You’ll be the first point of contact for employees and managers, ensuring smooth HR administration across the employee lifecycle while also overseeing office operations, facilities, and compliance. Working closely with the Senior HRBP, you’ll help create a positive, well‑organised, and compliant workplace that supports both employees and the wider business.
Your Responsibilities:
Act as the main point of contact for employees and managers on HR and office‑related matters.
Handle HR administration across the employee lifecycle, including onboarding, changes, and offboarding.
Maintain accurate HR records, employee files, job descriptions, and organisational charts.
Coordinate work permits, government reporting, and ensure compliance with local regulations.
Support payroll, benefits administration, and employee insurance processes.
Assist the Senior HRBP with HR initiatives, policies, employee surveys, and projects.
Manage office operations, facilities, suppliers, inventory, and office supplies.
Ensure compliance with Health & Safety, ISO27001, and business continuity requirements.
Coordinate company events and manage office assets and equipment.
Provide backup support to the HR function and assist with additional business needs as required.
Skills, Knowledge & Expertise:
1- 2 years of experience in HR administration and employee lifecycle processes.
Good understanding of local employment legislation, HR compliance, and Health & Safety requirements.
Strong organisational skills with the ability to manage multiple priorities and deadlines.
High attention to detail and accuracy when handling data, documentation, and records.
Confident communicator with the ability to support employees and managers professionally.
Ability to work independently while collaborating effectively with HR and cross‑functional teams.
Proficient in Microsoft 365 (Word, Excel, PowerPoint) and HR systems/databases.
Comfortable handling confidential information with discretion and integrity.
Experience supporting payroll, benefits administration, and audits is an advantage
Flexible, proactive, and willing to support broader business and office needs as required
